ADMINISTRATIVE ASSISTANT TO CHILDREN & STUDENT MINISTRIES

PERSON REPORTS TO:  Pastor of Administration and Discipleship
COMMITMENT TIME FRAME:  Indefinite (1 year minimum)
TIME COMMITMENT:  10-12 hours per week during ministry season, and 0-5 hours during summer

     Trinity Kids:  Teaching children God’s Word that they may know and follow Jesus.
     Students:  Leading students to know God, own their own faith, and make Him known.
MINISTRY VISION:
     Trinity Kids: Children becoming biblically literate adults with a heart to serve God’s Kingdom their whole life.
     Student ACE: Equip students each Sunday morning with regular Bible training applicable to their lives.

Position Description

The Administrative Assistant to Children & Student Ministries is a support role taking care of the weekly set up and details for Trinity Kids and Students classes and events. This position administratively supports the Pastor of Administration and Discipleship, Trinity Kids/Students Department Leaders and their Shepherd Assistants by making certain all curriculum, supplies, and snacks are available and prepared.

Requirements, Skills, Abilities

  • Must be a member of Trinity Baptist Church (or in the process of becoming) in good standing who shares our passion to serve our Lord Jesus Christ, and sees this position as a ministry to Him.
  • Strong Communication (written and verbal) and Leadership Skills.  Able to relate to staff, leaders, volunteers, members, parents, students, and children.
  • Operating knowledge (or able to attain) of computer, internet, software (MS Word, Excel, ACS Realm)
  • Strong organizational talents and attention to detail.  Able to manage time, follow guidelines, keep ahead of scheduled deadlines, and maintain proficient workspace and storage area.
  • Must be available Sunday mornings before, during and after education time at least 75% of the time.

Responsibilities

  1. Purchasing (Snacks, Supplies, Online Ordering of Curriculum, etc.)
  2. Track Promiseland/Student ACE Expense Accounts; Prepare Annual Budgets
  3. Organize and Manage Storage of Supplies (Promiseland Storage Closet and Shed).
  4. Responsible for Recruiting/Coordinating Support Volunteers as needed (Hospitality, Crafts, Props, etc)
  5. Develop and Communicate Information Pieces with Congregation and Trinity Kids/Students Team (Kids/Students Master Calendar, Meeting Schedule, Parent Notifications, Special Events, etc.)
  6. Administrate Registration, Communicate/Share Family Registration Information with Office, Manage Attendance Tracking, Prepare Birthday Binders, etc. for both Trinity Kids and Students.
  7. Represent Trinity Kids/Students at Meetings.  Participate in pre-season planning.  Calendar meeting(s) with other Sunday morning educational ministries. Attend Quarterly Leadership Huddles and monthly Leadership Council meetings (as needed).
  8. Administratively support special events that Trinity Kids/Students Leadership Team collectively schedules (holiday and/or end-of-year celebrations).
  9. Classroom Oversight – cleanliness, building use/feedback, décor.
  10. Other duties as needed/assigned/as time allows.
